How much does managed IT support cost in Singapore?

Most providers won't put a number on their website. We will, and we'll also show you how to compare quotes properly, because the cheapest monthly fee is often not the cheapest contract.

Quick answer In Singapore, managed IT support for SMEs is almost always priced per user, per month. A basic managed Microsoft 365 setup with helpdesk starts at under US$10 per user; a fully managed package with email security, endpoint protection, backup and 24×7 support typically lands between US$30 and US$45 per user. Cloudeli's published prices run from US$8.70 to US$36.60 per user per month on an annual plan, licence included, excluding GST.

Why most IT providers won't tell you the price

Search for managed IT services cost in Singapore and you'll find plenty of pages that say "contact us for a quote". There are two honest reasons and one less honest one.

The honest reasons: every business has a different mix of users, devices and systems, and a provider needs to see that mix before committing to a number. The less honest one: without a public price, it's harder for you to compare. Two quotes that look S$5 apart per user can be S$15 apart once you add what one of them left out.

We publish our packages because we think buyers should be able to sanity-check a quote before the first call. The rest of this guide explains how to read any quote, ours included.

The three ways managed IT services are priced

ModelHow it worksBest forWatch out for
Per user, per monthOne fee for each staff member, covering their accounts and devicesMost SMEs with 5–200 staffWhether licences and security tools are inside the fee or extra
Per device, per monthOne fee for each laptop, server or network deviceShared workstations, shop floors, clinicsCosts climb quickly when staff carry a laptop and a phone
Flat infrastructure feeOne monthly fee to run a defined environment, such as an Azure tenantCloud servers, line-of-business appsThe resource allowance, and what happens when you exceed it
Block hours / ad-hocPrepaid hours, or billed by the hour when something breaksVery small teams with simple needsNo incentive for the provider to prevent problems

Per-user pricing has become the default in Singapore because it's predictable: when you hire, the cost goes up by a known amount, and when someone leaves, it goes down. For cloud infrastructure, a flat management fee is more common. Our Azure managed services packages, for example, start at US$1,100 per month for a defined number of resources, with Azure consumption billed separately.

What you get at each price point

Prices only mean something next to scope. Here is what a typical Singapore SME should expect at each level, using our own published packages as the reference point.

TierTypical price per user / monthWhat's usually inside

The big jump is between "Essentials" and "Secure". That gap is the cost of email security and backup, the two things most SMEs we audit are missing. If a quote looks dramatically cheaper than the middle rows above, check whether those two items are in it.

Six things that push your quote up or down

  1. Headcount. Per-user rates usually drop a little as you grow, but most of the saving comes from the provider's tooling being spread across more seats.
  2. Microsoft 365 licence level. Moving from Business Basic to Business Premium is the single largest line-item change. Premium includes Intune and Entra ID P1, which can replace separate device management and identity tools.
  3. Support hours. Business-hours (8×5) support costs noticeably less than 24×7. If you have shift workers, overseas staff or a 24-hour operation, budget for round-the-clock cover.
  4. Security stack. Email filtering, endpoint detection and response, and security awareness training each add a few dollars per user. They're also what stands between you and a ransomware incident.
  5. On-premises equipment. Servers, NAS boxes, firewalls and printers in your office need someone to look after them. Expect a device fee or an on-site allowance on top of per-user pricing.
  6. Compliance requirements. If you're preparing for CSA Cyber Essentials, MAS TRM or a client security questionnaire, you'll need documented controls and reporting, which takes engineering time.

The hidden costs to ask about before you sign

The monthly fee is rarely the whole story. Ask every provider, in writing, about these:

  • Onboarding fees. Migration and setup are real work. A one-off fee is normal; ours starts at US$30 per user with a US$500 minimum. Be wary of "free onboarding" that is recovered through a longer lock-in.
  • Project work. Office moves, new sites, server migrations and major upgrades are usually quoted separately. Ask for the hourly or day rate up front.
  • On-site visits. Is there a monthly allowance? What does an extra visit cost?
  • After-hours support. On business-hours plans, is a 9pm outage billable?
  • Backup storage overage. Many backup plans include a fixed amount per user. Find out the price per extra GB.
  • Exit costs. What does it cost to leave, and will the provider hand over admin credentials, documentation and your data in a usable form?
A quick comparison trick: ask each provider to fill in the same one-page table, with rows for licence, helpdesk hours, email security, endpoint protection, backup, on-site allowance, onboarding fee and notice period. Quotes that refuse to fit into the table tell you something too.

Worked example: a 20-person firm in Singapore

Take a 20-person professional services firm that wants desktop Office apps, protection on every laptop, Microsoft 365 backup and round-the-clock support. On our Secure Plus package at the annual rate:

≈US$682
per month for 20 users (US$34.10 × 20)
US$8,172
paid annually (20 × US$408.60), licences and security included
US$600
one-off onboarding (20 × US$30)

That figure includes the Microsoft 365 Business Standard licence itself, so it replaces what the firm already pays Microsoft or a reseller for licences. The true net increase is the difference between this and their current licence bill. GST is added on top.

Compare that with hiring: even a junior full-time IT executive in Singapore costs a multiple of this once salary, employer CPF and tools are included, and that person can't cover 24×7 alone. We break that comparison down in in-house IT vs outsourced managed IT.

Can government grants offset the cost?

Singapore SMEs have historically used the Productivity Solutions Grant (PSG) for pre-approved IT solutions. Enterprise Singapore has announced that PSG, EDG and MRA are being streamlined into a single EDGE grant. Grant rules are strict: support usually applies only to pre-approved solutions, and you must apply before paying anything, including a deposit. Check the official listing before you sign a contract, not after.

So is managed IT worth the money?

The fairest test is not "is this cheaper than what we pay now?" but "what does one bad week cost us?". A ransomware incident, a lost laptop with unencrypted client data, or three days without email will usually cost more than a year of a properly scoped managed service. If your current setup is cheap because nobody is watching backups, patching or sign-in alerts, you're not saving money, you're deferring the bill.

FAQ

Questions, answered

How much does managed IT support cost per user in Singapore?

Most Singapore SMEs pay a per-user monthly fee. Cloudeli's published packages range from US$8.70 to US$36.60 per user per month on an annual plan (excluding GST), with the Microsoft 365 licence, administration, helpdesk and, at higher tiers, email security, endpoint protection and backup included. Other providers' prices vary widely depending on what is bundled, so compare the scope line by line rather than the headline figure.

Is managed IT cheaper than hiring an IT executive?

For most businesses under roughly 50 staff, yes. A full-time hire costs salary plus employer CPF, leave cover, training and tools, and still leaves gaps when that person is sick or resigns. A managed service spreads the cost of a whole team and its tooling across many clients. Above around 100 staff, a hybrid of one internal IT lead plus a managed provider is often the best value.

Does managed IT pricing include Microsoft 365 licences?

It depends on the provider. Some quote the support fee only and bill licences separately; others, including Cloudeli, bundle the Microsoft 365 licence into one per-user price. Always ask whether a quote includes licences, security tools and backup storage, or only labour.

What is usually not included in a managed IT contract?

Commonly excluded items are hardware, on-site visits beyond an allowance, large one-off projects such as an office move or a server migration, third-party software licences and after-hours work on lower tiers. A good contract lists these exclusions in writing.

Can PSG or EDGE grants be used for managed IT services?

Singapore's Productivity Solutions Grant historically supported only pre-approved solution packages from pre-approved vendors, and Enterprise Singapore has announced that PSG, EDG and MRA are being streamlined into a single EDGE grant. Check the current Enterprise Singapore and GoBusiness listings before signing anything, because applications must be submitted before any payment is made.
